Conference Interpreting
How to Plan a Multilingual Conference or Event
A practical guide for Pacific Northwest event organizers — from your first request to a seamless multilingual event. The more detail you share with E2S early, the better your interpreters can prepare and the smoother your event will run.
"The more your interpreters know about your event, the better the outcome."
Professional conference interpreting runs on preparation. Sharing the right details early — your agenda, speaker materials, terminology, and venue layout — allows E2S to match the right interpreters, recommend the right equipment, and arrive ready for your specific event. You don’t need everything finalized to reach out. Start the conversation early and fill in details as your event takes shape.
The Planning Process
Your Event Basics
Share event date, duration, language pairs, expected attendee count, and any known accessibility needs. This is enough to start the conversation and get a preliminary recommendation.
Venue & Format
In-person, virtual, or hybrid — and the type of space — determines your entire equipment setup. Share a venue floor plan or description as early as possible. See our venue guide for what to look for.
Equipment & Setup
Based on your event size and venue, E2S will recommend the right equipment — from portable receiver systems for small meetings to full booth setups for large conferences. We provide, deliver, and set up all equipment.
Materials & Preparation
Sharing your agenda, speaker slides, and a glossary of key terms in advance helps interpreters prepare thoroughly. The more technical or specialized the content, the more important this step is.
What to Have Ready
You don’t need everything finalized to reach out — but the more you can share early, the better E2S can prepare. Useful items include: event agenda, speaker list, presentation materials, venue floor plan, and any specialized glossaries.

Don’t have everything yet? That’s fine — we can start the conversation now and add detail as your planning progresses. Early contact gives us more time to source the right interpreters for your subject area.
